Event Information

Exhibitor Set Up	Monday, October 19, 2026. Provided that an electrical diagram is included with your order, all electrical service will be installed in the booth before you arrive on this day.
Show Decorator Details	Please reach out to Freeman for freight, carpeting, and furniture details.
Resort Exhibit Regulations	Please review the rules and regulations for information regarding demonstrations, displays, Fire Marshal requirements, and ordering electrical, internet, and catering services.
Show Hours	Tuesday, October 20, 2026 \| 7:00AM - 3:45PM
	Wednesday, October 21, 2026 \| 7:00AM - 11:45AM
Exhibitor Move-Out	Wednesday, October 21, 2026. All booths must be cleared from the exhibit floor.

Guests staying on property will have access to their Basic Wi-Fi in the Exhibit Hall using their room login.

Important Information Regarding Food and Beverage

Under the event contract and for liability reasons, Gaylord Palms Resort & Convention Center is the exclusive provider of all food and beverage services. Outside food and beverages may not be served from your booth.

This restriction includes, but is not limited to, logo-branded bottled water and any type of pre-packaged food.

If your company manufactures food or beverage products and you would like to serve those items, permission must be requested by email in advance. Requests may be sent to gpexhibits@gaylordhotels.com.

Please review the Sample Request PDF for insurance requirements and possible fees associated with the sampling process, including Fire Marshal approval for cooking or heating within your booth space.

Rigging Services

Submit your request through the Encore Rigging Request page. Encore is the exclusive rigging provider at Gaylord Palms Resort.

Power Requirements
All power required for motors, lighting, or audio visual equipment must be ordered through this website and is not included in Encore pricing.

Tax-Exemption Requests

If your organization is tax-exempt in the State of Florida, please place your order first and then contact us at gpexhibits@gaylordhotels.com.

A copy of your Florida Tax Exempt Certificate and a front-and-back copy of the credit card used for the order must be provided before the tax refund can be processed. All digits except the final four should be redacted.

All required tax-exemption documentation must be received before the first day of the event.
